Registering for the WhatsApp Business Platform in India: Step by Step

Every dental software vendor that mentions WhatsApp eventually says "get on the API." Most do not explain what that actually involves. This article covers the five steps a clinic goes through to get a registered , and one common problem that slows the process down.

This Is About the Third WhatsApp, Not the First Two

There are three things called "WhatsApp" in clinic contexts. The consumer app on someone's personal phone is free and unlimited but lets no one manage conversations except the person holding that phone. The WhatsApp Business App is also free and gives you a business profile and a catalogue, but still runs on one device. The WhatsApp Business Platform, often called the API, is the only product that can send to a list of patients, connect to your records, and be used by several staff at once. It is also the only one that requires registration.

If your clinic only wants to respond to patient messages one by one, the Business App is enough and no registration is needed. What follows is only relevant if you want the ability to send appointment reminders or recall messages to a segment of patients.

Step 1: Create a Meta Business Account

Everything on the WhatsApp Business Platform sits inside a Meta Business Manager account. This is free to create. You will need a personal Facebook account to do it, or you can use a managed Meta account if your organisation prefers to keep business and personal accounts separate.

The name and details you enter here matter, because they must match the verification documents in Step 3. Use your clinic's registered legal name, not a shortened or informal version.

Step 2: Choose a Business Solution Provider

Meta does not sell WhatsApp Business Platform access directly to end businesses. Access goes through authorised (BSPs). These are companies Meta has authorised to resell API access, and they also provide the inbox tools, integrations, and support that the API alone does not include.

Questions worth asking any BSP before you sign:

  • What is the monthly platform fee, and what happens in a month when you send nothing?
  • Is the per-message rate passed through at Meta's rate, or marked up?
  • Whose WhatsApp Business Account is it, and can you take the phone number with you if you leave?
  • Who owns the conversation history, and can you export it?

The BSP is usually the largest recurring cost in a WhatsApp API setup, larger than the per-message charges. See What WhatsApp Actually Costs an Indian Dental Clinic for the full breakdown.

Step 3: Business Verification

Before your WABA can be fully active, Meta requires business verification through your Meta Business Manager. You submit legal documents that confirm your clinic is a real, registered entity.

For Indian clinics, the documents Meta accepts include a GST Registration Certificate and a Certificate of Incorporation (for private limited or OPC companies). Multiple BSPs report that the GST Registration Certificate is the fastest-processing option. Whichever document you use, the legal business name, address, and phone number on it must exactly match the information in your Meta Business Manager, or the verification will fail.

Verification is not instant. Most BSPs report it completing in one to three business days when documents are in order. If your Meta Business Manager name was set up informally and does not match your GST certificate, correction takes additional time.

Step 4: Add a Phone Number

The phone number a clinic registers on the WhatsApp Business Platform must meet Meta's phone number requirements: it must be owned by you, have a country and area code (short codes are not supported), and be able to receive a voice call or SMS for verification.

One rule catches many clinics off guard: the number must not already be active on the consumer WhatsApp app or the WhatsApp Business App. If your receptionist's number is already on WhatsApp, that number cannot be used for the API without first deleting the existing WhatsApp account from it. Most clinics use a separate SIM dedicated to the practice, on any major Indian operator.

Meta sends an OTP to the number via SMS or voice call to confirm you control it. Once verified, the number becomes API-only and is no longer usable on the consumer apps.

There is no DLT registration requirement for WhatsApp in India. DLT (Distributed Ledger Technology) is a TRAI requirement for bulk SMS, not for internet messaging. WhatsApp falls outside that framework entirely.

Step 5: Display Name Approval

The is what patients see when your clinic messages them. It is submitted during registration and reviewed by Meta separately from business verification.

According to Meta's display name guidelines, the name must clearly relate to your business. Common reasons for rejection include:

  • Name does not match verified business name or brand. If your GST certificate says "Sharma Dental Care Pvt Ltd" and you submit "City Smiles", Meta cannot confirm the connection.
  • Name does not appear on your website. Meta checks that the display name, or a clear reference to it, is visible on your clinic's website. A practice that operates under a trading name different from the registered legal name should make that trading name prominent on the site.
  • Guideline violations. Names that imply being an official WhatsApp product, make claims Meta cannot verify, or violate WhatsApp's Commerce Policy are rejected.

When Your Display Name Is Rejected

A rejection does not end the application. Meta provides an appeal path through Meta Business Support. Address the specific mismatch, update your website if the name is not visible there, and resubmit. Meta typically responds to appeals within 24 hours.

The most common mistake is submitting a clinic's informal name or a patient-facing brand name before ensuring it appears on the clinic's website and matches what the business verifier can confirm. Getting the name, website, and Meta Business Manager aligned before submitting saves a round trip.

Frequently Asked Questions

Does WhatsApp Business API registration require a DLT number in India?

No. DLT (Distributed Ledger Technology) registration is a TRAI requirement for bulk SMS, not for WhatsApp. A dental clinic using the WhatsApp Business Platform does not need to register on a DLT portal. WhatsApp is an internet messaging service and is outside the scope of TRAI's SMS regulations.

Can I use my existing clinic mobile number for WhatsApp Business API?

Only if that number is not currently active on the WhatsApp consumer app or the WhatsApp Business App. Adding a number to the Platform migrates it away from those apps and makes it API-only. If the number is already on WhatsApp, you need to delete the existing WhatsApp account from that number before it can be registered on the Platform.

What documents does Meta accept for business verification in India?

Meta accepts several documents for Indian business verification. A GST Registration Certificate is widely reported by Business Solution Providers as the fastest-processing option. A Certificate of Incorporation (for private limited or OPC companies) also works. The legal business name, address, and phone number on your documents must exactly match the information in your Meta Business Manager.

What happens if my display name is rejected?

You can appeal through Meta Business Support. Common reasons for rejection are a mismatch between the display name and your verified business name, the name not appearing on your website, and violations of WhatsApp's Commerce Policy. Addressing the specific mismatch and resubmitting is the correct path. Meta typically responds to appeals within 24 hours.

How Dentomate Handles This Differently

Dentomate routes recall campaigns through its own approved WhatsApp Business Account rather than requiring each clinic to register for the API. A clinic on Dentomate does not create a Meta Business Account, does not go through business verification, and does not pay a BSP a monthly platform fee. What you pay is the Dentomate plan price, and the plan determines how many recall campaigns you can send.

PlanRecall campaignsPrice
FreeNot included₹0
Starter2 every 30 days₹399/mo
ProUnlimited₹799/mo

Annual billing works out to ₹3,990/yr for Starter and ₹7,990/yr for Pro. Full breakdown on the pricing page.

The trade-off: messages go out under Dentomate's approved templates rather than a WABA registered in your clinic's own name. If having your clinic's name as the sender identity matters more than the time and cost of independent registration, going direct to a BSP is the right call.

Send Recall Messages Without the Registration

Dentomate handles the WhatsApp setup. You choose a segment, confirm the message, and we send it through our approved account.
